Understanding the system
What is Uni-Assist?
Before you apply, understand exactly what Uni-Assist does — and what it doesn't do. This distinction prevents major confusion later.
Founded
2003
Established to standardise foreign university applications across Germany
Partner Universities
170+
Including TU Munich, RWTH Aachen, TU Berlin and most public universities
Applications/Year
~380,000
One of the largest academic document clearing services in Europe
Handles — your document gateway
- Acts as a central clearinghouse for your academic documents
- Verifies authenticity and equivalence of foreign degrees
- Issues the VPD (Vorprüfungsdokumentation) to partner universities
- Forwards your application materials to up to 12 universities at once
- Reduces the burden on individual admissions offices
Does NOT handle — not the decision maker
- Not the university — it does not make admission decisions
- Not the admissions office — it cannot tell you if you'll be admitted
- Not mandatory for ALL German universities — always check directly
- Not a guarantee of admission — VPD is just document verification
- Not responsible for visa or accommodation — that's separate
Important: Not all universities use Uni-Assist. Some universities like Heidelberg, LMU Munich, and certain technical universities manage applications directly through their own portals. Always verify on the university's official admissions page before applying through Uni-Assist.
Step by step
The Uni-Assist Process
Seven steps from registration to university receipt. Follow this in order and you won't miss a thing.
Create account on uni-assist.de
15 minRegister on the official Uni-Assist portal with your personal information. You'll receive a login credential to your applicant dashboard.
Use the same email you'll use for all German university communications.
Select universities and programs
1–2 hoursAdd up to 12 programs from Uni-Assist partner universities. Each additional university beyond the first costs €30, so plan your shortlist carefully.
Search by subject area, not just university name. Some unis have multiple campuses.
Upload your documents
2–4 hoursUpload certified scans of all required documents: degree certificates, transcripts, APS certificate, language scores, passport copy, CV, and motivation letter.
Scans must be at minimum 300 DPI. Poor quality uploads cause automatic rejection.
Pay the application fee
10 minFirst university costs €75. Each additional university costs €30. Payment is required before your application is processed. Accepted via credit card and bank transfer.
No refunds after submission. Double-check your university list before paying.
VPD document verification
4–8 weeksUni-Assist's team evaluates the authenticity and equivalence of your academic credentials. They check if your degree meets German equivalency standards.
You can track status in your dashboard. Processing time increases near semester deadlines.
Assessment report sent to you
1–3 daysYou receive your Vorprüfungsdokumentation (VPD) — the official assessment report confirming your document verification. This is stored in your applicant portal.
Download and save your VPD immediately. Some universities require you to upload it directly.
University receives your application
AutomaticUni-Assist electronically forwards your complete application package — documents + VPD — to all selected universities. The university then makes the admission decision.
After this step, contact individual universities for admission status updates.
Application Complete
University receives your full package. Now wait for their individual decisions.

Common Mistakes
These errors derail hundreds of applications every year. Read them carefully before you start.
- 01Critical
Uploading poor quality scans
Blurry, low-resolution, or partially cropped documents are automatically flagged for rejection. Uni-Assist requires minimum 300 DPI scans with all text legible.
Fix: Use a flatbed scanner or a document scanning app like Adobe Scan. Ensure all four corners of the document are visible and text is sharp. - 02High Risk
Not getting APS before applying
Indian applicants must obtain the APS certificate before applying through Uni-Assist. Applying without APS results in an incomplete application that cannot be processed.
Fix: Book your APS interview at the APS India office (New Delhi or Mumbai) at least 3–4 months before your Uni-Assist deadline. APS processing takes 4–8 weeks. - 03Watch Out
Confusing VPD with direct application
Some applicants believe that submitting through Uni-Assist means they have applied to the university. The VPD is just document verification — the university still needs to make an admission decision.
Fix: After Uni-Assist forwards your application, monitor each university's admission portal separately for decisions. Some require you to complete additional steps on their own portal. - 04High Risk
Submitting wrong transcript format
Submitting only a consolidated transcript without semester-wise mark sheets, or submitting in the original language without a certified translation, causes processing delays.
Fix: Submit both consolidated transcripts AND individual semester mark sheets. All documents in a language other than German or English must include certified translations by a sworn translator. - 05High Risk
Late payment delays entire processing
The application fee must be paid before Uni-Assist begins processing any documents. Applicants who upload documents and forget to pay can miss deadlines entirely.
Fix: Complete payment immediately after uploading all documents. Set a calendar reminder to confirm payment was received. Check your applicant dashboard for payment confirmation. - 06Critical
Applying to non-Uni-Assist universities through portal
Some applicants apply to universities that don't use Uni-Assist through the Uni-Assist portal, wasting fees and missing the actual direct application deadline at that university.
Fix: Before adding any university to your Uni-Assist application, check the university's official admissions website. LMU Munich, Heidelberg, and some others require direct application.
Common Questions
Everything you need to know about Uni-Assist and VPD
No — approximately 170+ universities use Uni-Assist, but several major universities manage applications directly. Notably, Ludwig Maximilian University Munich (LMU), Heidelberg University, and some faculties of TU Munich handle direct applications. Always verify on the university's official admissions page before applying through Uni-Assist. Applying through Uni-Assist to a non-partner university wastes your fee and misses the real deadline.
